Red Pheasant Cree Nation Prevention Department Administrative Assistant provides a high-level of administrative support to director, ensuring efficient operation of the office. This role includes organizing schedules, handling confidential information, coordinating meetings, and serving as a liaison between the department and clientele.
-Calendar Organization: Schedule and organize meetings, appointments and travel arrangements for the department.
-Communication: Draft, review and handle correspondence, emails, design Canva posters, and handle reports on behalf of the director.
-Meeting Coordination: Prepare agendas, take minutes and ensure follow-up actions are completed.
-Document Organization: Organize and maintain files, records, and presentations.
-Expense reporting: Process and track expense reports and budgets.
-Confidentiality: Handle sensitive information with discretion and professionalism.
-Time Management & Communication: Ability to self manage time and schedule, while reporting and communicating clearly with director.
-Vehicle Organization & Upkeep: Maintain & deliver vehicles for regular maintenance. Handle vehicles work logs.
-Filing Maintenance: Maintain and upkeep filling systems for the department.
-Event Planning: Help plan, facilitate & set up for community events. Will require lifting, carrying, bending and twisting while holding up to 50lbs.
Qualifications & Requirements:
Experience: Previous experience in an administrative or executive support role.
Skills:
-Strong organizational skills and time management abilities
-Excellent written and verbal communication skills
-Proficiency in Microsoft Office Suite and scheduling tools.
-Ability to multitask and prioritize in a fast-paced environment
-Ability to anticipate needs and solve problems independently
