Description

Key Responsibilities:
-Provide day-to-day administrative support to the President
-Monitor and manage multiple email inboxes
-Manage travel booking and coordination for construction crews
-Coordinate event and tradeshow registrations and logistics
-Organize and maintain invoices, receipts, expenses, petty cash, fuel card documentation, contracts, bids
-Maintain accurate, well-organized digital and physical filing systems
-Maintain corporate calendar, including key dates, deadlines, and recurring activities
-Support for grant and funding applications
-Coordinate vehicle, equipment, and maintenance tracking
-Coordinate and maintain safety documentation, subcontractor records, and others as needed
-Provide administrative and document support to third-parties such as accountants, legal and HR

Experience:
-Post-secondary education in business administration, office administration, accounting, or equivalent experience
-Minimum 24 years of experience in an administrative, executive support, or coordination role
-Experience supporting senior leaders and coordinating travel, logistics, documentation, or multiple stakeholders in an operational, project-based, or construction-adjacent environment
-Proficiency with Microsoft tools (Outlook, Excel, Word, and SharePoint), QuickBooks, and SiteDocs, or ability to learn these systems quickly
-Highly organized with strong time-management skills and the ability to juggle multiple priorities
-Detail-oriented and accurate when handling administrative, financial, and logistical information
-Professional, discreet, and trustworthy
-Clear, confident communicator with strong written and verbal skills
-Proactive, dependable, and comfortable working in fast-paced environment
