Description

Zagime Anishinabek is a progressive First Nation located approximately 20 km northeast of the Town of Grenfell, Saskatchewan.
SUMMARY OF POSITION: The Receptionist is responsible for public relations and program support through the provision of reception functions, clerical support and office organization at Zagime Anishinabek Administration Building.
DUTIES AND RESPONSIBILITIES:
Be available at the reception desk during office hours, unless relieved by another employee
Answer phones and direct calls to appropriate program personnel
Record messages accurately and direct to appropriate staff in a timely manner
Greet the public and manage traffic flow through the Administration Office
Ensure that the reception area is kept neat and orderly
Respond to public inquiries and requests for services by providing accurate and timely information to clients and the public
PROGRAM SUPPORT:
Develop and distribute memos and correspondence as may be required by the Director of Human Resources and Program Managers
Monitor and maintain photocopier and fax machine, including ensuring
appropriate and timely maintenance and supplies for copier.
OFFICE MANAGEMENT:
Maintain a tracking system for complaints, requests for information, and a volume of of phone calls and inquiries
Record incoming mail and faxes and distribute them appropriately in a timely manner
Ensure that outgoing mail is recorded and sent in a timely manner, with appropriate copies retained where required
Maintain the office supplies, ordering and inventory
Periodically updating the contact lists and distributing them
Maintain coffee supplies and provision of coffee services for clients and staff
QUALIFICATIONS REQUIRED:
Grade 12 or equivalent
Diploma of certificate in office management or administrative assistant would be an asset
Computer literacy in Word and Excel spreadsheets
Submit a Criminal record check and Substance test prior to employment.
