Position Summary
The Swift Current Ag & Ex Association is seeking an organized, customer-focused individual to provide administrative, financial, and event support to the General Manager, Event Manager, and Board of Directors. Duties include reception, clerical, customer service, event coordination support, financial record keeping, and volunteer coordination. The successful candidate will be professional, adaptable, and comfortable working in a fast-paced community environment.
Key Responsibilities
Provide customer service and reception support as first point of contact for visitors and inquiries, provide public information about association functions, direct inquiries to appropriate staff or partners, process ticket and sales transactions, and relay public concerns to management.
Provide administrative support by preparing correspondence, contracts, reports, and meeting minutes, attending meetings as required, recording and distributing Board minutes, uploading documents to web platforms, sending reminders to board members, operating office equipment, and maintaining confidential files.
Provide financial support by assisting with bookkeeping tasks, processing accounts receivable, invoices, and receipts using QuickBooks, assisting with sales reporting, till balancing, and bank deposits.
Provide event and program support including assisting with event planning, communications, livestock entries, prize book preparation, and volunteer coordination.
Provide communication and marketing support by assisting with social media content, website updates, and promotional materials using basic design tools.
Knowledge, Skills & Abilities
Strong communication skills, knowledge of office procedures and technology, proficiency with Microsoft Office, QuickBooks, Google Workspace, Canva, Squarespace, and Square, ability to work under pressure, meet deadlines, demonstrate initiative, professionalism, and flexibility, willingness to work evenings and weekends.
