Job Summary:
The Executive Assistant (EA) at Hopes Home provides administrative support to the CEO and CFO and acts as Hopes Home Board Secretary.  They are responsible for a wide range of administrative duties which allows the CEO and CFO to effectively manage the day-to-day priorities and responsibilities.  On behalf of the CEO, the EA communicates and collaborates with external stakeholders, the Board of Directors, internal departments and others to convey required information, set up meetings and events and ensure the day-to-day operations run smoothly.  This position has one direct report, which is the Administrative Assistant to the Senior Managers.

Responsibilities:
Provide primary administrative and liaison support to the CEO and CFO, managing confidential matters, complex calendars, and daily priorities. Prepare correspondence, reports, presentations, meeting materials, travel, and expense reporting, while supporting special projects and tracking action items.

Coordinate onboarding and offboarding for CEO and CFO direct reports. Support the Board of Directors and Executive Team by scheduling meetings, preparing agendas and packages, recording minutes, and ensuring compliance with bylaws.

Coordinate organizational meetings and events, ensure technical readiness, liaise with government ministries, administer job grants, support Fundraising and Marketing initiatives, and complete other duties as assigned.

Qualifications:

Office Administration certificate.
A minimum of 4 years experience providing senior leadership/executive support.
Experience working with a Board of Directors an asset.
