Description

Office Administrative Assistant
At Estevan Motors the Administration Department is the backbone of our daily business operations. This full-time position serves as the primary point of contact for our customers while supporting internal departments by ensuring general office and body shop administration is organized, properly maintained and running efficiently.
Key Job Responsibilities
General Office Support
Reception: Greet and assist customers with their inquiries, vehicle drop-offs, and pick-ups in a professional and friendly manner.
Manage Phone Calls: Answer and manage a multi-line phone system, directing calls to the appropriate person or department while ensuring customer inquiries are handled efficiently.
Accounting Support:  Handle and record payments for daily parts and service invoices, assist with account receivable, and provide basic bookkeeping support to staff as needed.
Data Entry: Enter, update and maintain accurate information in our office computer system.
Customer Care: Conduct customer follow-ups to ensure satisfaction and report any concerns to the appropriate department manager as needed.
Bodyshop Support
Administrative duties: Perform filing (both digital and physical) and process body shop documentation using specialized computer software. Provide administrative support to management and staff regarding inquiries or discrepancies within the department.                              
Point of Contact: Coordinate customer appointments and provide clear communication throughout the repair process. Gather all required information for repair authorizations and collect insurance deductible payments.
Insurance Claim Liaison: Communicate with insurance agencies and submit completed claims according to approved insurance estimates while ensuring all documentation is accurate and complete.
