Carmichael Outreach Inc. is a registered nonprofit organization serving individuals experiencing poverty, homelessness, and complex social challenges in Regina. We are seeking a highly organized and professional Executive Assistant to support the Executive Director and contribute to the effective operation of the organization.
The Executive Assistant provides senior-level administrative and coordination support to the Executive Director and assists with governance processes, internal communication, and operational follow-through. This role requires discretion, strong organizational skills, and the ability to manage multiple priorities in a fast-paced, mission-driven environment.
Key Responsibilities include:
Providing administrative support to the Executive Director, including scheduling, correspondence, and document preparation
Preparing reports, briefing notes, and meeting materials
Supporting Board and Committee processes at the direction of the Executive Director, including agendas, minutes, and record-keeping
Tracking action items and following up on assigned tasks
Coordinating internal meetings and supporting office operations
Maintaining confidentiality and professionalism at all times
Qualifications:
35 years of experience in an assistant or senior administrative role
Strong organizational, communication, and time-management
High level of discretion and professional judgment
Proficiency with Microsoft 365 (Outlook, Word, Teams, SharePoint)
Experience in a nonprofit or governance environment is an asset
