Reporting to the Assistant City Clerk, the City Council Support performs administrative and clerical duties while maintaining consistent practices to ensure the corporation adheres to its legislative responsibilities, with respect to analysis of legislations, bylaws, policies and procedures. The position also serves as the Associate Returning Officer during municipal elections.
This position performs the following duties:
- Provide policy and procedural support to senior managers and employees
- Coordinate, prepare and distribute Council and Standing Committee agendas
- Complete preliminary research for and prepare correspondence, reports and briefs
- Research and gather information in response to requests from members of Council and the public
- Maintain the Central Policy Library
- Receive visitors and telephone calls
The nature of this position will require work to be performed after regular hours in attending Council and Board Committee meetings.
Qualified applicants will possess:
- Completion of a recognized post-secondary administration course and 3 years of progressively responsible experience in a municipal environment.
- Working knowledge of office technology, including Microsoft 365, networked systems and standard office equipment
- Keyboarding skills at 55 WPM
- Knowledge of parliamentary procedures and municipal processes
- Completion of Certificate in Local Government Administration and Information Access and Protection of Privacy Certificate Program required within 18 months of hire.
- Knowledge of The Cities Act, The Local Government Election Act, 2015, The Local Authority Freedom of Information and Protection of Privacy Act and The Planning and Development Act, 2007.
- Strong clerical, organizational skills and office procedures
- Proven interpersonal skills, including effective verbal and written communication skills
- Skilled in report writing and preparing agendas
