We are seeking a detail-oriented Shipping and Logistics Administrative Assistant to support our operations. This role provides essential administrative support focused on shipping, customs documentation, and supply coordination for our customer shipments. The ideal candidate will handle administrative tasks efficiently, ensure compliance with international shipping regulations (especially for US exports), and contribute to accurate reporting and cost management.
Key Responsibilities
- Prepare, process, and proofread shipping and customs documentation, including creating FDA Prior Notice submissions for all US-bound shipments to ensure regulatory compliance.
- Purchase and generate shipping labels through carrier and third-party platforms, coordinating carrier pickups and tracking shipments as needed.
- Organize and coordinate Less-Than-Truckload (LTL) shipments for bulk or wholesale orders, including preparing necessary paperwork, scheduling, and liaising with freight carriers.
- Research and source shipping supplies, packaging materials, and related vendors; compare options for cost-effectiveness and place purchase orders as directed.
- Compile, organize, and generate reports on shipping costs, volumes, carrier performance, and expenses; maintain accurate records in spreadsheets or our inventory/shipping software.
- Perform general administrative duties in support of operations, such as data entry, filing shipping records, scheduling logistics-related tasks, responding to carrier or supplier inquiries, and maintaining organized digital/physical files.
- Assist with order fulfillment support by verifying shipment details against customer orders and resolving basic discrepancies.
- Monitor shipment statuses and update internal systems or communicate updates to the team/customers when required.
- Support other administrative needs as assigned, including basic office tasks to keep operations running smoothly.
