ROLE AND RESPONSIBILITIES
The Executive Assistant provides administrative support to the Executive Director, including managing schedules, travel, correspondence, and confidential information while maintaining professional interactions with staff and the public.
Manage calendars and schedules.
Coordinate travel plans and reservations for senior staff.
Review documents and correspondence for accuracy and format.
Prepare draft reports, research, and background materials.
Coordinate office activities related to the role.
Attend meetings with or on behalf of the Executive Director, including travel.
Facilitate communication between managers and project leads.
Troubleshoot or escalate administrative issues.
Support planning and evaluation of activities aligned with organizational goals.
Adhere to all policies, procedures, and regulatory requirements.
Participate in senior management meetings.
Prepare documents as requested.
Be available for regular and offhour work.
Maintain ethical conduct; avoid gossip or slander.
Stay informed on corporate and provincial policies.
Present a professional image to visitors and partners.
Perform additional related duties.
QUALIFICATIONS
Diploma in Business Administration or related field preferred.
Minimum 3 years administrative experience.
Valid Class 5 drivers licence with acceptable abstract.
Clear criminal record with vulnerable sector check.
Equivalent education/experience considered.
COMPETENCIES
Proficient in Microsoft Office Suite.
Strong knowledge of office procedures.
Skilled in minute taking.
High ethical standards.
Ability to work under pressure.
Strong attention to detail and organization.
Able to lift up to 20 lbs.
