What You'll Do:
As the first point of contact for our residents, owners, and partners, you'll play a key role in keeping our operations running smoothly.
Front Desk & Communication:
- Greet clients, tenants, residents, and guests when they visit our office.
- Answer and direct incoming phone calls and emails professionally and efficiently.
- Assist with managing rental inquiries, and resident and tenant communications.
Administrative & Office Support:
- Maintain accurate record-keeping systems, including the preparation of reports.
- Prepare notices, contracts, and other important, time-sensitive documents.
- Perform data entry and filing to support daily operations.
Code receipts and file accordingly.
- Support the Operations Manager with duties as assigned.
Operations & Scheduling:
Schedule maintenance and repair work orders; coordinate with vendors and contractors.
Maintain/update our online systems including rental listings and portals.
What We're Looking For:
- You're a friendly, highly organized, and detail-oriented professional.
- You remain calm under pressure and can manage multiple priorities.
- You're comfortable learning new systems and asking questions when needed.
- You're familiar with the Apple ecosystem (MacOS, iOS, iCloud, etc.).
- You have strong communication skills, both verbal and written.
- You have excellent organizational and multitasking abilities.
- Experience with Buildium, QuickBooks, and Uplisting is an asset.
- Previous experience in an administrative role, property management, or real estate brokerage is an asset but not required.
