Customer Service Specialist / Administrative Assistant

We are seeking a professional, organized, and friendly Customer Service Specialist / Administrative Assistant to support our main office. This role is essential in delivering a high standard of customer care while ensuring smooth day-to-day administrative operations within a collaborative, team-based environment.
This position works closely with homeowners, trades, and internal teams, and requires a strong understanding of residential construction processes, warranty service, and home systems.
Key Responsibilities:
Provide exceptional after-care service to homeowners, coordinating service and warranty requests
Act as a liaison between homeowners, trades, and internal teams to ensure timely resolution of service items
Manage incoming calls, emails, and correspondence in a professional and timely manner
Schedule appointments and track service requests through to completion
Maintain accurate records, including data entry, documentation, and file management
Assist homeowners with information regarding home systems, maintenance, and warranty coverage
Support overall office operations and team members as required
Qualifications:
Proficiency in Microsoft Word and Excel
Comfortable working with technology and integrated systems (e.g., Buildertrend or similar platforms)
Strong verbal and written communication skills
Excellent organizational and multitasking abilities
Ability to manage multiple phone lines and prioritize tasks effectively
Fluent in English
Experience & Industry Knowledge:
Working knowledge of residential construction, home building processes, or warranty service is required
Experience in construction, home building, or a related field is strongly preferred
Ability to understand and communicate basic home systems (plumbing, HVAC, finishes, etc.) to homeowners
Work Schedule:
Monday to Friday
8:00 a.m. 4:30 p.m.
