Description

Under the direction and supervision of the Executive Director, the Executive Assistant is responsible for providing support on administrative responsibilities to the Executive Director. The Executive Assistant is required to maintain confidentiality and professionally interact with employees and the public.

    Maintain work schedules and calendars for the Executive Director as needed.
    Maintain and upkeep filing system for Executive Director.
    Prepare travel schedules, book travel arrangements, and make reservations.
    Review all documents, reports, and correspondence prepared for the executive signatures for format, content, grammar, spelling and make edits as necessary.
    Prepare draft reports, background documentation, and research.
    Coordinate office activities pertaining to the Executive Assistant role.
    May have to attend meetings with the Executive Director, or on his/her behalf, which includes travelling to
      various locations.
    Facilitate communication from department managers, business unit leaders, and project managers.
    Assist the Executive Director in planning, implementing, and evaluating activities in accordance with the
      Agencys goals, objectives, and priorities.
    Understand and abide by the policies, procedures, procedures, mandates regulations and other
      requirements that govern the corporation.
    Attend and take part in regularly scheduled staff senior management meetings.
    Prepare relevant documents as requested by the Executive Director.
    Ensure your availability for regular and off-hour work.
    Ensure you are knowledgeable and proficient in the use of policies, mandates.
    Present a positive and professional image of the executive office to all visitors, suppliers, inquires, and other persons.
    Adhere to and enforce all OLFS policies and procedures.
    Other duties as assigned that are complimentary to the role
    Post  Secondary Diploma in Business Administration, or relevant discipline is preferred
