As an Administrative Officer at B&H Canvas Ltd., your duties will include but are not limited to:
Coordinate and oversee the full administrative workflow of custom garment orders, from customer inquiry, quotation, order entry, artwork approval, to final delivery
Develop and implement office procedures to streamline order processing for screen printing, embroidery, and heat press production, ensuring efficiency and accuracy
Review customer orders and artwork specifications to ensure all production details (design size, color, garment type, quantity) are properly documented before releasing to production
Act as the central liaison between customers, graphic designers, and production staff to ensure clear communication of job requirements and timelines
Monitor and update production schedules, ensuring all custom orders are completed on time and according to client specifications
Manage and verify invoices, deposits, and payment records, ensuring all orders are financially cleared before production or delivery
Maintain organized digital and physical filing systems for customer orders, artwork files, proofs, supplier invoices, and production records
Coordinate purchasing of blank garments, printing materials, threads, inks, and packaging supplies to support ongoing production needs
Track order status and proactively follow up with customers regarding approvals, delays, and completion updates
Assist management in analyzing order volume, workflow efficiency, and administrative processes to improve turnaround time and customer service
Support HR-related administrative functions including staff scheduling coordination, onboarding documentation, and maintaining employee records
