The Montreal Lake Child & Family Agency requires an Administrative Support to the Executive Director at the main office.
Duties:
Act as the point of contact between staff and internal/external clients
Develop and carry out an efficient documentation and filing system such that information can be retrieved on request
Prepare memos, invoices, letters and other documents
Receive calls and route to the correct person or take messages
File and retrieve corporate records, documents and reports
Make arrangements for meetings, travel and hotel bookings
Calendar management for the Executive Director
Accurately record minutes and motions from meetings; prepare correspondence for follow up arising from Board meetings
Provide filing services for minutes and motions from Board meetings
Use various software including word, excel, power point etc.
Uphold a strict level of confidentiality
Act as a gatekeeper to the Executive Director
Perform other duties as assigned
Qualifications:
Proven experience as an executive assistant or other relevant administrative support experience
Full comprehension of office management systems and procedures
In depth understanding of Microsoft Office applications and office equipment
Ability to organize a daily workload by priorities and must be able to meet deadlines in a fast-paced, quickly changing environment
Ability to perform general administrative duties
Must be willing to work evenings and weekends
Ability to work as a team player and independently
Self-motivated, flexible, dependable and innovative
Ability to problem-solve and resolve conflict
Excellent interpersonal and communication skills
Must be able to pass a successful CPIC and VS Check
A valid driver's license and reliable vehicle is an asset
