Description

Montreal Lake Child & Family Agency Inc is looking to fill the position of Administrative Support/Receptionist at the main office.

Duties:
Act as the first point of contact between staff and internal/external clients by greeting visitors with a positive and helpful attitude
Develop and maintain an efficient database, documentation and filing system such that information can be retrieved on request
Ensure reception area is tidy and presentable with all necessary stationery and material (e.g. pens, forms, business cards etc.)
Maintain frequently used phone, fax and email lists
Keep track of staff schedules (absences, out of office meetings etc.) and weekly sign in/out sheets
Answer phone calls in a professional manner, screen and route calls as necessary
Organize and schedule appointments
Make meeting/travel/accommodation arrangements for staff when requested
Prepare correspondence for meetings as requested
Accurately record minutes from meetings when requested and file accordingly
Use various software including word, excel, power point etc.
Monitor office supplies and research advantageous deals or suppliers
Open, sort and distribute incoming faxes, mail, emails and other correspondence
Provide general administrative support to staff
Uphold a strict level of confidentiality
Develop and sustain a level of professionalism among staff and clientele

QUALIFICATIONS:
Proven administrative support experience
Excellent interpersonal and communication skills
Full comprehension of office management systems and procedures
In depth understanding of Microsoft Office applications and office equipment
Ability to organize a daily workload by priorities
Must be able to meet deadlines in a fast-paced, quickly changing environment.
Must be willing to submit a current CPIC and Vulnerable Sector Check upon hiring
A valid driver's license and access to a reliable vehicle is an asset
