Controls flow of telephone communication- answering calls in a pleasant manner
Provides efficient welcoming of visitors
Prepares and expedites mail and packages by mail and courier
Provides clerical support
Prepares and expedites production information
Provides accounting support
Performs routine typing and filing
Dockets: Matches dockets to sell sheet and ensures information is entered accurately into system. Copies courier and freight slips and puts them into the dockets Invoicing and closing of dockets as necessary
Receipt of stock and entering of stock sheets
Runs status reports for production meetings and job reports for CSR Manager
Maintains vendor/customer databases as required
Maintains and orders office supplies
Ensures that mail is posted each day
Operates postage machines, copiers, printers, faxes, and keeps them filled with paper, toner, etc.
Maintains cleanliness of office, desk, docket room and storage room
Outputs labels for shipping department
Accounts payable/receivables
Preparing of weekly deposits and taking them to the bank
Processing of weekly payroll
Petty cash reconciliation
All other office duties as assigned
SKILLS/ACCOUNTABILITY
Good communication skills
Understanding of computers including the internet, email and word processing operations
Accounting knowledge and willingness to expand on accounting skills
Efficient at entering data into systems (i.e. EFI, Grandmaster Suite,)
Ability to complete tasks with minimal supervision
Performs duties in a timely fashion
Knowledge of printing industry would be an asset but not required
Initiative to take upon additional tasks that are not assigned
-Works directly with and reports to the Controller
-Provides support to the CEO, Plant Manager, & CSR Manager
