Administration (approx. 80-90% )
oPerform general clerical duties to include (but not limited to) the operation of photocopiers, printers, fax machines, computers and other office equipment.
oPrepare, format and file both basic and detailed department reports, letters, expense reports, documents and meeting minutes on a daily, weekly, monthly and annual basis while adhering to specific deadlines
oSchedule and track conference calls, facility rentals and catering
oTrack and provide support for timesheet entry
oManage the distribution and return of all shared Department electronic devices and parking passes
oMaintenance of the Department floor plans, office allocations and organizational chart
oAssist managers by scheduling meetings and preparing documents
oProcess and track department related purchases requisitions and purchase orders
oArranging all travel bookings and ensuring proper paperwork is completed
Records Management & Document Control (approx. 10-20%)
oReceive, print, process and distribute incoming electronic and hardcopy project documents
oDocument the receipt and distribution of incoming and outgoing project documents
oAssist department in locating physical and electronic documentation and correspondence
oConvert files to appropriate format and file as directed by the Project Managers or designate
oDistribute information to team as required by email, various SharePoint sites and/or hardcopy print
oDownload and upload project documents using a variety of file-sharing tools and methods.
Skills and Qualifications:
-Diploma from a recognized business college
-2-5 years experience in an office setting
-A strong working knowledge of Microsoft Applications and Adobe Acrobat Reader/Writer as well as experience using file-sharing software applications such as FTP sites and SharePoint
-Visio and SAP software knowledge are considered assets
