THE POSITION:
A Service Coordinator is an organized individual who assists in the managing the day-to-day operations of business tenants, paying special attention to the premises on which the business is located. This person oversees many different aspects of a propertys operations from managing vendors and contractors to arranging maintenance and ensuring tenant compliance with respect to fulfilling lease obligations. Being able to multitask is essential for achieving success as a Service Coordinator. Initially, this growing role will also work within our Maintenance Department and with internal customers to facilitate maintenance operations and billings.
DESCRIPTION OF DUTIES
Communicate to our property management division on the status of work orders, overdue work orders and daily reports
Ensure work orders and invoices are complete, accurate and timely
Generate invoices from completed work orders for review and approval
Assist with timecard processing as required
Coordinate system repairs and monitor system performance
Contract out services and monitor contracts to ensure compliance
Ensure compliance with all safety and security protocols
Attend on site and meet trades and monitor work as required
Inspect buildings structures to determine the need for repairs or renovations
Perform analysis and forecasting
Using Core 7 software, track and report to the Director of Maintenance on the status of work orders, hourly performance of staff
REQUIREMENTS
The Service Coordinator will possess:
o Proven experience as facilities manager, service coordinator or relevant position will be an asset
o Knowledge of technical/engineering operations and facilities management best practices is an asset
o Knowledge of basic accounting and finance principles
o Excellent verbal and written communication skills
o Excellent organizational and leadership skills
o Good analytical/critical thinking
