SNC-Lavalin Operations and Maintenance
Reporting to the Facility Manager, this role will be responsible for building and maintaining strong tenant and vendor relations. This is a hands-on, tactical position that requires the ability to multi-task, be resourceful, and make decisions independently based on company policies. The successful candidate will have strong communication skills, excellent computer knowledge, a customer-focus mindset, and the ability to learn and adapt quickly.
RESPONSIBILITIES:
Be the foundation for maintaining and enhancing customer satisfaction. Work constructively with the team to ensure customer requirements are met. Represent the team as the first-point contact; dispatch work orders; monitor and track work status; conduct follow-ups, etc.
Provide administrative support to the team, including but not limited to:
o Create purchase orders, invoice reconciliation, and assist with other accounts receivable/payable duties as necessary
o Manage security clearances requirements
o Maintain and order office/kitchen supplies inventory
o Prepare expense reports and other monthly reports as necessary
o Take minutes as necessary
o Manage boardroom reservations
Assist management team when requested. Complete other duties as assigned by the Facility Manager.
QUALIFICATIONS:
A High School diploma is required. Diploma or Certification in Office Administration, Facilities Management, Supply Management, or Project Management is preferred.
Minimum 5 years experience in an administrative position.
Security clearance is a must.
Proficiency in Microsoft Office and minimum typing speed of 70 wpm are required. Experience working with JD Edwards EnterpriseOne or similar applications would be an asset.
General knowledge of accounting principles, tendering processes, and Health & Safety standards would be an asset.
Skilled in developing strong working relationships with contractors, clients and consultants.
