The Administrative Assistant is responsible for the coordination and organization of office support for the aircraft maintenance team. Also, is responsible for establishing and maintaining an accurate document control system ensuring access to all records and correspondence by all team members.
Primary responsibilities include:
Correspondence control which includes recording, filing, maintaining, retrieving, and distribution of all correspondence;
Coordination and completing travel arrangements, expense claims and budgets;
Inter-office communications and liaison with numerous internal organizations and outside commercial and government agencies;
Provide administrative support to the Aircraft Maintenance Manager including maintaining a departmental schedule and answering service for departmental personnel;
Arranging meetings, preparing agendas, and attending meetings for the purpose of recording and transcribing minutes;
Preparing, proofing and distribution of correspondence;
Designing macros and templates for locally produced forms and correspondence; and
Assume duties of other Administrative Assistants when required.
Act as OH&S Joint Committee Secretary
Carry out duties as assigned in support of the AFMO Business Management System Cell
Candidate must successfully pass a security evaluation per the requirements of the Controlled Goods Directorate of Canada and to CAE being able to obtain all necessary re-transfer authorization in compliance with US ITAR regulations
