Description

Position Summary:

The role of the Office Administrator is to serve a team of professionals and ensure efficient and timely operations of the office.  This employee reports directly to the Executive Director.  As Office Administrator, key areas of responsibility include financial accounting and reporting and organizational administrative support. Other duties as assigned by the Executive Director.


Duties and Responsibilities:

General:
1. Office support (phone, voice-mail, fax, e-mail, office supply ordering, filing, ensuring the organization and office equipment is in good working order, preparation of mail outs including correspondence and tax receipts
2. Support Board of Directors meetings as required by the Executive Director
3. Act as first point of contact for guests/clients
4. Maintain incoming and outgoing mail
5. Archive strategic and operational files as needed
6. Receive donations of cash and in-kind, deposits and tax receipting and recording in appropriate database(s); support Fund Development as needed with charitable requirements
7. Provide database entry and back-up for required software programs
8. Applicable tasks required for the smooth and efficient running of the office
9. Other duties as assigned

Administrative:
1. Provide administrative assistance to organizational staff
2. Administration and maintenance of staff and human resource files
3. Maintain health and benefits plan

Accounting:
1. Manage accounting system with QuickBooks
2. Prepare financial statements and reporting (monthly/annually/ongoing)
3. Assist with year-end audit process
4. Support Audit & Finance Committee meetings
5. Process/maintain payroll and benefits
