Description

Our Company is searching for an experienced, reliable and task-oriented Administrative Assistant. The administrative assistant will work directly with senior management and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional and capable of managing their work load and prioritizing tasks in a fast-paced environment.

Responsibilities including, but not limited to:
-Create letters and emails on behalf of other office staff
-Reply to email, telephone and face to face inquiries
-Book conference calls, rooms, taxis, couriers, hotels, etc.
-Maintain computer and manual filing systems
-Maintain up to date Fleet registrations
-Maintain supplies inventory by checking stock to determine inventory level; placing and expediting orders for supplies; verifying receipt of supplies
-Carry out administrative duties such as filing, typing, copying, scanning, etc.
-Cover the reception desk when required
-Assist senior estimators with material take offs, blue print reading, and calculations for bid packages.
-Support Estimators in preparation of daily, weekly, or monthly reports.
-Assist Estimators with all documentation for bidding a job from start to finish. This includes estimates, meetings, scheduling, drawings, project tracking, and other tasks that may be assigned.
-Assist in job tracking and costing
-Submitting bids and/or estimates in a confidential manner

Required skills and abilities:
-Proven admin or assistant experience
-Excellent time management skills and the ability to multi-task and prioritize work
-Attention to detail and problem-solving skills
-Excellent written and verbal communication skills
-Strong organizational and planning skills
-Exceptional mathematical skills
-High school diploma or equivalent; post secondary degree preferred.
