The Aboriginal Friendship Centres of Saskatchewan (AFCS) is taking applications for position of Executive Assistant for a 1 year contract (with possibility of permanent position). Preference will be given to Indigenous applicants who self declare.
Duties & Responsibilities:
1. Attend meetings, take minutes and keep notes
2. Schedule executive meetings and travel plans
3. Update Executive Director about appointments via email & calendar of events
4. Assist the Executive Director in meetings, preparing documents and presentations such as preparation of agendas
5. Plan for committee, board, and other meetings
6. Assist with some financial documents such as cheque requisitions, budget updates and general data entry
7. Attend phone calls, respond to office emails, take messages and record all communication in logbook
8. Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and board of directors
9. Open, sort, and distribute incoming correspondence including faxes and email.
10. Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work
11. Other duties as assigned by the AFCS
12. Criminal Record Check (CPIC),
13. Willingness to work occasional flexible hours including evenings and weekends
Qualifications:
1. High school diploma is a minimum requirement
2. Office education program or equivalent experience
3. 5+ years of office administrative experience
4. Experience using software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Access, etc., to produce correspondence, maintain presentations, records, spreadsheets and databases and to maintain and update websites
5. Good typing skills
6. Basic bookkeeping and office knowledge
7. Experience with website administration would be an asset
