Description

The Ministry of Central Services is seeking a highly skilled and well-organized individual to provide administrative support to the Executive team of the Infrastructure and Operations branch of the IT Division.  

Reporting to the Executive Director, you will provide the following administrative support:

Planning and managing daily operations
Scheduling and documenting meetings
Formatting, editing and proof-reading correspondence
Guiding staff on current policies and procedures
Maintaining records management per ARMS guidelines, and updating filing and document systems
Human resources knowledge and delivery of policy, staffing, organizational charts and structure, verification and monitoring of entitlements, benefits, payroll, workflow, and process
Examination and distribution of documents for proper signing authority and approvals
Reconciliation of purchase card payments, and expenditure claims for reimbursement
Processing invoices, and the procurement of stationary, office furniture, and equipment
Managing general inquiries to the office
Contact for building management and manages office space and furniture requirements for branch

As the successful candidate, you will demonstrate strong problem-solving and decision-making skills to resolve issues and address concerns or inquiries, and the ability to manage multiple priorities and deadlines.  You will have advanced knowledge of various software programs (such as Word, Excel, PowerPoint) and databases; as well as knowledge of various filing procedures and systems such as ARMS.  In addition, you will have the ability to perform basic math and financial calculations and the ability to compose, record, proofread and/or edit a variety of correspondence and presentations.
