Description

Roles and responsibilities
Sales
Set up prospect file folders.
Create mail merge letters to prospects and clients.
Telephone contact to prospects and clients.
Keep track of the status on pending business.
Communicate with head office on issue and placing problems.
Contact client if new requirements are needed.
Follow up with other financial institutions for fund transfers.
Client service
Act as key contact person between Consultant and clients, to free up Consultant to pursue sales and new business. Includes follow-ups.
Maintain up-to-date client files.
Research and respond as necessary to incoming mail and phone calls from clients. Handle all issues except the most complicated, without getting the Consultant involved.
Help create and prepare presentation material and reports using the Microsoft Office Suite.
Call clients to schedule, re-schedule, and confirm appointments.
Meet with clients to provide information and forms when the Consultant is not available.
Administrative support
Input and update client and prospect information into Pathway.
Maintain and update digital mailing distribution list for Consultant for newsletters, calendars, birthday cards, etc.
Maintain filing systems.
Retrieve, screen and sort Consultants mail; research and respond to as much as possible without involving the Consultant and save emails on Pathway.
Transmit faxes and do photocopies for the Consultant as requested.
Screen incoming calls. Return messages for Consultant. Intercept and handle telephone messages where possible.
Compose and create correspondence for the Consultant, where terminology, grammar and set-up require judgment and skill.
Miscellaneous
Maintain a current, up-to-date appointment book, initiate annual review appointments, and review existing appointments.
Keep Consultants desk in order.
Make travel arrangements.

30 hours a week Monday - Thursday 9-4 or 8:30-3:30
