Job Summary
Reporting to the Executive Director, the Executive Assistant will have the primary responsibility to support the Executive Team in ensuring that the day-to-day operations run seamlessly and supporting and coordinating the work of the Executive Team. To succeed in this role, you will be highly organized, committed to client service excellence, possess an intuitive sense of discretion and confidentiality, practice high levels of tact and be graceful under pressure.
Duties & Responsibilities
1.Responsible for the daily operation of support services for the WBTC by overseeing the effective and efficient management of clerical, administrative and support functions at the Centre.
2.Provides administrative and clerical support services for Managers and clinical team.
3.Ensures efficient and effective operation of the centre such as data processing, mail, and records management.
4.Ensures that all support services are in compliance with WBTC policies, procedures and standards.
5.Assists with planning of special events.
6.Oversees, manages and coordinates Centres Accreditation process on regular basis.
7.Coordinates Board of Directors meetings including preparation of materials and preparing documents.
8.Takes minutes of various Board and staff meetings and transcribe.

Possess good communications skills verbal and written.
Respectable interpersonal skills that includes general courtesy when answering phones, greeting visitors, and dealing with staff.
Proficiency in the use of computer skills and programs including accounting, word processing, databases, spreadsheets, e-mail and internet
Demonstrated knowledge and experience in report & proposal writing
Demonstrated ability to maintain high level of confidentiality
Time Management and ability to meet deadlines an asset
Must be flexible to travel
