Proficient with spoken and written English communication. Greet clients in a friendly professional manner and ensure the client is made to feel welcome.
Answer the telephones; respond to client inquiries and direct calls to the appropriate member of staff. Track incoming and outgoing mail in data base.
Prepare letters, calls to clients, photocopying, faxing and pulling files as needed.
Miscellaneous duties as required.
Some Sales Team Assistance:
Add new clients and maintain existing client records with a high standard of accuracy and completion.
Schedule calls and follow ups with customers on behalf of sales team
Requirements:
Personable, and friendly personality; ability to act with discretion, diplomacy and tact.
Ability to engage clients in conversation.
Ability to work efficiently and effectively despite numerous interruptions and distractions.
Some proficiency with computers and intermediate ability at a minimum in Microsoft Office including Word, Outlook and Excel. We use Swiftpage ACT to manage our customer database. Training will be given if applicant is not familiar with this program.
Ability to deal with contrary and complex client service situations.
Familiar with multi-unit phone systems/switchboards.
