The Administrative Assistant is the first point of contact for the agency. The Administrative Assistant is responsible jointly to the Residential Director and Human Resource Manager.
Responsibilities:
-To handle all incoming calls, faxes, mail, staff, and visitors
-To maintain on-site files
-To enter and update information on necessary databases
-To assist with the hiring process by providing applications, conducting pre-screen interviews, completing reference checks, and correcting hiring exams
-To maintain adequate supply of various internal handbooks, manuals, and paperwork packages
-To arrange training/meeting facilities, receive registrations, purchase and deliver supplies, and produce relevant certifications
-To maintain a clean and orderly office environment
-To type and prepare forms, documents, letters, and agency correspondence, etc
-To manage invoicing, Purchase Orders, and Petty Cash
-To assist in agency event planning and execution
-To serve as a catch-all point of access for information and assistance
-To ensure staff/client confidentiality at all times
-To operate by the agencys Code of Ethics, philosophy, policies, and procedures
The ideal candidate will possess a combination of education in Office Administration and experience in a professional work environment providing assistance to and working closely with management-level employees and the Human Resources and Accounting departments.
Criminal Record Check is required.
Part-time position with guaranteed 20 hours/week (up to max 30 hours/week)
