Duties and Responsibilities
Account Payable
-Assists the Chief Administration Officer (CAO) in performing all Accounts Payable functions. Such duties include, but are not limited to:
Opening and/or sorting mail
Vouching all in coming invoices
Distributing mail to appropriate places
- Inputs Accounts Payable data into Sage 50/Simply Accounting.
- Assists in running checks as directed by the Senior Accounting Manager.
Works with CAO to ensure that key bills where there is a substantial pre-payment or early payment discount are paid on time.
Ensures that no penalties accrue for lay payments.
- Gets checks signed. Prepares all material for mailing, ensuring that appropriate copies are maintained and filed, according to departmental guidelines.
Account Receivables
- Billing- creating invoices for clients and making sure they are sent to the proper people.
- Keeping client payments up to date and dealing with remainders for outstanding invoices
Other General Bookkeeping Duties:
- Bank Reconciliation, Etc.
General Administrative
- Handles reception duties including telephone answering, distributing telephone sheets and other related duties.
- Works with CAO in handling general administrative duties, including, but not limited to:
Managing supply inventory and doing ordering
Filing
Copying
Other related duties
- Other office duties, including but not limited to: typing, filing, making reservations and making telephone calls.
SPECIFIC REQUIREMENTS
Skills:
Word processing software (Microsoft Word)
Simply Accounting/ Sage 50
Spreadsheet software (Microsoft Excel)
Ability to use the Internet and e-mail (Microsoft Outlook)
Ability to manage and complete multiple tasks
