Description

As a growing and dynamic firm, we are interested in hearing from qualified admin assistant applicants for our Regina Office of MLT Aikins which prides itself on having a friendly and co-operative atmosphere working environment.

This is a full-time permanent position, hours of work are 8:30 am to 4:30 pm.
Responsibilities/Qualifications Include
Cover reception daily for breaks, lunch hour and office last hours
Provide full-time coverage as required at reception during any sick leave, vacation leave and EDOs including adjusting of work hours and/or overtime
Back-up to office services team for any sick leave, vacation and EDOs including adjusting of work hours and/or overtime
Order, unpack and restock office supplies/tabs on each floor within the office
Daily bank deposits as required
Inter-office mail rounds
Prepare outgoing mail with postage and create courier weigh bills for outgoing packages daily
Enter cost disbursements daily in the accounting software system, Aderant
Create, print and internally distribute monthly bills
Strong computer skills including experience with Nuance PowerPDF, Microsoft Word, Excel and Outlook
Experience with Windows Explorer
Responsible for accurately scanning closed files and confirming they are saved to the Document Management system appropriately
Physical mobility for requirements of mail and document production and ability to lift up to a 20-pound file box
Responsible in conjunction with the office services team for the general cleanliness of the office and lounge kitchen which includes regularly scheduled cleaning
Other administrative duties as assigned

The successful candidate is self-motivated, highly organized, has strong computer and time management skills, exceptional attention to detail, excellent interpersonal and communication skills and is able to work independently, follow instructions with minimum supervision and be able to thrive in a fast-paced, professional team environment.
