Description

The office is a Financial Advisory Firm. The position is open immediately.
  Duties
Create client files, folders, input client information and particulars  
Responsible for maintaining a secure database of approximately 400 clients
Utilizing sound judgment and direction in handling confidential material  
Computer & Software proficiency
Download all software packages and updates as well as creating an office backup system for electronic filing
Research - compiling data from many industry resources
Marketing/analysis - various media
Provide accurate analysis of insurance premiums, retirement income, verify current market values as well as general maintenance of client portfolios
Provide administrative, secretarial and receptionist support to the advisor and clients, handle client calls, message management and the general day-to-day office duties
Correspond via email and telephone with vendors to update client information
Format, compose, edit and type client, company and advisor personal correspondence
Input data into a Retirement Planning software and have some understanding of the results
Procure office supplies from private supply companies and manage stock as well as verifying expense statements. Maintain a high quality of rapport with supply vendors.
Aid the brokers by managing daily planning and scheduling calendars, prioritize duties and engagements, assist in meeting preparation, arrange travel plans, administer highly confidential documents
Open, compile, file and distribute daily mail to the broker
Ensure appropriate form are completed accurately
Ordering all applications, guides, change forms, mutual forms etc. for daily office use
Able to work independently but with a teamwork cohesiveness  
Must have problem solving capabilities and be able to work through day to day general procedures without supervision
Preference will be given to mature candidates who have some knowledge of the Life Insurance and Investment Industry
