POSITION SUMMARY
The Executive Administrative Assistant reports to the Director of Child Care Services and is responsible to provide a wide-range of administration support services. Specific accountabilities include producing / editing a variety of correspondence, documents and reports, performing the reception function, verifying, documenting and tracking of data/information related to the Child Care Services function, organizing meetings and carrying out general office duties.
SUMMARY OF PRIMARY RESPONSIBILITIES:
Processes, reviews and forwards reports to respective individuals.
Tracks and maintains children and staff directory, intake and discharge, ensuring that all information is up-to-date.
Types/edits correspondence, documents and reports, ensuring confidentiality and privacy of information.
Ensures annual inspections are scheduled/conducted (e.g. health inspections, licensing, fire, etc), advising management accordingly.
Attends meetings, takes notes and forwards to team members as appropriate.
Performs the reception function both over-the-phone or in-person; assists individuals or refers them as appropriate.
Performs daily office functions; operates a variety of office equipment; contacts repair people as necessary.
Demonstrates the values of the organization and works to achieve its mission and objectives.
QUALIFICATIONS:
Formal Education Post-secondary education in a related field ( e.g Diploma in Administrative Assistant or Early Childhood Education) is considered an asset.
Certifications/Training/Associations
CPR/First Aid is required
Valid Class 5 Drivers License
