As an Executive Assistant to the CEO, you will be one of the first points of contact for our CEO and the Executive team. We are looking for an applicant who demonstrates professionalism, has excellent communication skills, and has an approachable demeanor.
Responsibilities
Manage the day-to-day of Vendasta's CEO and ensure the Executive team is supported & running smoothly, from preparing agendas to assigning action items and providing follow-up
Organize & manage the CEO's schedule, including booking meetings, contacting participants, booking rooms, etc.
Manage the CEO's attendance for various meetings (prepare meeting notes & materials) and speaking engagements
Facilitate effective use of functional meetings such as Executive team meetings, company All Hands, and quarterly leadership offsites
Prepare business documents, presentations, proposals, etc. as needed; assist in preparation for all Executive meetings including participation and recording minutes when requested
Manage comprehensive travel schedules for the CEO & Executive team , including booking & confirmation of travel arrangements and itinerary planning
Travel and expense management and approval across the Executive to ensure completion, meeting deadlines, content/metrics are accurate
Manage the meeting cadence for the Board of Directors and leadership team, ensuring any necessary materials are prepared in advance
Work with the Executive team to complete ad hoc requests in an effective and efficient manner
Skills and Qualifications
6-9 years of experience in an Executive Assistant capacity
Bachelors in Business Administration considered asset
Attention to detail, proficient organizational skills with demonstrated ability to deal with multiple priorities to meet deadlines
Exceptional standards of professional integrity, customer ethics, and proficiency in all aspects of administrative activity
Demonstrated ability to work effectively with confidential and sensitive information
