Description

Duties and Responsibilities:
Assemble data and prepare periodic and special reports, manuals, and correspondence.
Prepare, key in, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related material from machine dictation and handwritten copy.
Set up and maintain manual and computerized information systems for filing, training, schedules, and procurement.
Open and distribute incoming regular and electronic mail and other material and co-ordinate the flow of information internally and with other departments and organizations.
Schedule and confirm appointments and meetings of employer.
Order office supplies and maintain inventory.
Answer telephone and electronic enquiries and relay telephone calls and messages.
Co-ordinate and plan for office services, such as accommodation, relocations, equipment, supplies, forms, disposal of assets, parking, maintenance, and security services.
Determine and establish office procedures.
Greet visitors, ascertain nature of business and direct visitors to employer or appropriate person.
Record and prepare minutes of meetings.
Arrange travel schedules and make reservations.
Compile data, statistics, and other information to support research activities.
Train office staff in procedures and in use of current software.
Organize conferences.
Qualifications:
Excellent communication skills required.
Extremely organized and high attention to detail required.
Commitment to continuous professional development.
Excellent leadership, problem solving, and decision-making skills.
Advanced skills with computers and software required: Microsoft Office 365 Suite: word, Outlook, SharePoint, Excel, PowerPoint.  
Team oriented focus and coaching leadership style an asset.
High work ethic a must.
Flexibility to deal with constant change and ability to work under presser and tight deadlines.
Proactive problem solving.
Ability to go above and beyond!
