Description

Reporting to the Machine Director (MD), the Executive Assistant provides confidential & high-level administrative support to the MD.
Responsibilities:
Represents the MD in a professional manner, dealing with issues & concerns, & solving or referring problems.
Provides confidential & timely administrative support to the MD including: preparing & managing all forms of correspondence, scheduling meetings, gathering & preparing briefing or meeting materials, conducting research, coordinating travel arrangements & submitting expense reports.  
Acts as a liaison between CLS & the public/external stakeholders in regards to organizational administrative needs.  
Works closely with the MD to strategically manage meeting requests, including establishing standards that effectively accommodate requests & meeting priorities.
Plans, prepares & composes a variety of complex documents, reports & correspondence within a variety of software & Microsoft Office programs
Organizes meetings, programs, events, or conferences which may include arranging caterers, issuing information or invitations, coordinating speakers & controlling event budgets.
Assists in coordinating travel & accommodation arrangements including preparing & submitting travel claims, expense reports & reimbursement requests.  
Responsible for records management including; filing, creating & maintaining databases, & handling confidential information on a consistent basis.
Qualifications:
A relevant diploma or undergraduate degree, with five years of experience supporting senior executives.
Strong interpersonal & communication skills.
Strong ability to research, analyze information & make recommendations based on best practice.
Effective organizational, analytical & time management skills.
Self-directed, works independently under pressure & exercises good judgment.
Proficient experience in Microsoft Office.
A satisfactory Criminal Record Check is required.
