located at the CTK Administration office, the Receptionist serves as the first point of contact with office visitors and provides assistance to individuals by responding to routine questions; providing general information; answering the main telephone line; making reservations; managing electronic calendars; and performing general clerical duties such as data entry, typing and faxing. The Receptionist will be responsible for answering incoming calls, directing calls to appropriate staff, mail distribution and providing additional clerical support within the Carry the Kettle Nakoda Nation (CTK. The incumbent will multi-task and deliver a variety of front office activities and services to band office operations, CTK membership and the public.
KNOWLEDGE, SKILLS & ABILITIES, PERSONAL SUITABILITY
Greets and assists clients and visitors in a friendly professional manner and directs them to the appropriate person or department.
Offers visitors and clients refreshments and ensures that they are conformable while waiting.
Answers incoming telephone calls and determines the purpose of the call and forwards the call to the appropriate personnel or department.
Takes and delivers messages or transfers calls to voicemail when appropriate personnel are unavailable.
Maintains a visitors registration that identifies the name, date and time of all visitors, clients and citizens who are received at the CTK Administration office.
Ensures knowledge of CTK Office staff movements (in and out of office) to better assist visitors and clients
Ensures reception area is tidy and presentable, with the necessary stationery and materials (e.g., pens, forms and brochures)
Provides basic information in-person and via telephone/email/fax
EDUCATION AND EXPERIENCE
The successful candidate will have completed Grade 12 education.
Office Administration Certificate or a combination of education and experience, Previous experience working in receptionist/administrative position.
